DOCUMENTATION & SOCIAL MEDIA UNIT

INTRODUCTION

The Documentation & Social Media Executive Unit focuses on managing and disseminating information through various social media platforms and documentation. We aim to enhance the visibility and engagement of the Centre for Modern Languages through strategic content creation and distribution.

The unit is responsible for updating the CML Portal, TV, Facebook, YouTube, Blogspot, and TikTok with the latest information and activities of UMPSA staff and students. We ensure that all platforms reflect up-to-date information by regularly collecting and disseminating activity data.

ACTIVITIES

History: Activities conducted in 2023: NIL

  • Summarise monthly CML activities/programmes/events by uploading recap video activities/programmes/events on the portal and social media every month.
  • Activate all CML social media channels include TikTok, YouTube, Facebook, and Blogspot.
  • Upload CML news articles regularly to keep the portal and social media channels updated with the latest news.
  • Update academic Information by posting the latest academic achievement (DS & DG) on the portal.
  • Upload information of current CML Executive Units
  • Create a new edition for CML bulletin
  • Publish e-bulletin quarterly by releasing a new edition every three months.
  • Recruit student helpers from UMPSA Pekan and Gambang to assist in gathering information and resources from other UMPSA students.
  • Supervise selected students by overseeing student contributions to the magazine content and CML social media.

CML Bulletin

STANDARD OPERATING PROCEDURE (SOP) FOR MANAGING INFORMATION/MATERIALS/NEWS/ANNOUNCEMENTS ON THE CML PORTAL

The SOP for managing any materials, information, news, or announcements is as follows:

1. All information/materials/news/announcements must be verified or authenticated by the head of department/program, department secretary, coordinator, or the responsible committee before being submitted to the Documentation & Social Media Unit.

2. Any information/materials/news/announcements that are to be published on the CML Portal or CML social media must be sent to the folder in CML Data Centre (Unit Dokumetasi & Sosial Media) no later than three days after the date of the program for official record purposes.

3. Any news/announcements that are to be published on the CML portal or CML social media must include the following basic information:
- Name of the programme/activity/event
- Date, day, and time of the programme/activity/event
- Location of the programme/activity/event
- Organisers and participants of the programme/activity/event
- Objectives of the program/activity/event
- Summary of the program/activity/event
- Reflections/suggestions/views/hopes, etc.

4. Any materials/information/news/announcements that are to be published on the CML Portal or CML Facebook must be submitted in the following format:
- Microsoft Word
- Font: Calibri (body)
- Font size: 12
- Alignment: Justify
- Images in JPEG/JPG format

5. All information/materials/news/announcements submitted will be managed and uploaded by the Documentation & Social Media Unit within 5 working days after receipt.
